01 The problem

A commercial real estate team tracked thousands of deals across three large spreadsheets. Finding one comparable deal meant scrolling all three for an hour, filtering by hand, and hoping the numbers were still current. Every comp set was rebuilt from scratch. Every client report was assembled by hand. The team owned years of real, valuable data and almost none of it was searchable. The market was sitting right there in the files and nobody could read it fast.

02 The system

A deal intelligence portal. Every property sits on a searchable national map, colored by status, with live totals for volume, cap rate, and occupancy. A broker types a region or an asset type and the map and the numbers move together. A comp engine pulls matching sold and on-market deals on any mix of filters, so a comp set that used to take an hour now takes seconds. A benchmarking view scores one property against its submarket and shows where it sits on rate, risk, and size. When a broker is ready, the portal exports a branded PDF or Excel report for the client in one click, no manual build. I shipped eleven working modules in all.

03 How it holds up

It runs on 7,499 real property records, geocoded and searchable, across eleven working modules. Eight team roles each see what they should, and a full record tracks who changed what and when. I built it on the firm’s own data and delivered it ready to use on day one, no slow rollout, no clean-up phase. The team stopped fighting spreadsheets and started reading the market. The data they already paid for finally became something they could use.

04 The result

Brokers now find any comp in seconds on a map instead of scrolling three spreadsheets for an hour. They score a property against its submarket and hand a client a clean, branded report on the spot, the kind they used to build by hand. Three spreadsheets became one place to read the whole market, and the data sells the deal.
